Program Development

  • Evaluate current facility, interview management and senior staff to develop technology and office/workstation standards for future space
  • Develop master plan, including schedule, stacking and sequencing, project budget for the new site
  • Research and negotiate contracts pertaining to, data and phone service, security systems, phone systems, network and cabling

Space Planning & Design

  • Attend site visits with the clients and prepare general IT infrastructure plan planning for proposed spaces
  • Prepare individual room layouts for existing workstations and telephones, and IT room rack space design

Construction Phase Management

  • Define requirements, develop scope packages, bid documents, negotiate contracts and compile budgets for data, voice, security, cabling, audio visual and other specialty trades
  • Develop and maintain all IT project budgets and schedules
  • Manage owner’s sub-contractors in the field outside of the construction superintendent’s responsibility, such as audiovisual, security, cabling, and telephones.
  • Conduct final walk-through of cabling, voice and security

Technology Coordination

  • Facilitate the collection and documentation of client’s technical infrastructure and requirements
  • Assist in-house technical team in developing requirements and sequencing for the move related to network infrastructure, equipment, phone system and data service providers
  • Coordinate security requirements consisting of overall security concepts and electronic security devices with construction
  • Assist client in the development of security access control programming and implementation
  • Research audiovisual options for special use rooms such as video conferencing, smartboards, training facilities, etc.
  • Act as technology liaison throughout the construction project
  • Manage and document weekly technology meetings, 3-4 months prior to move and coordinate with the construction team

Move Coordination

  • Coordinate discussions relating to the logistics of the move around the daily business operations; establish target date for move-in and contingency dates
  • Interface with the moving company in planning and scheduling of the priorities and logistics of the move
  • Compile directory and move instructions for the employees to assist in labeling items and preparing for the move
  • Provide on-site direction to the movers
  • Build and make new IT room ready for relocation
  • Coordinate and Test new Data and voice lines, mange to be sure they are installed on time
  • Move switches, Routers and firewalls and any necessary hardware to new location and test.
  • Plan and coordinate Voice line cutover and porting of any numbers
  • Install and test Wireless Access Points at new location
  • Create VPN connectivity with any additional remote offices

Facility Operations

  • Provide additional IT support the first month in the new location
  • Study the new facility, interview the mangers approximately 30 days after the move and provide a detailed report listing additional requirements needed/requested in the new workspace
  • Establish procedures and policies for new location as it relates to Technology.

Clean up & Turnover of Old Facility

  • Coordinate the sale and clean-up of old equipment, furniture and office space
  • Cancel any remaining contracts for old facility and insure that all active vendors have transitioned to the new facility

Project Close Out & Commissioning

  • Follow up with all vendors and sub-contractors to get final billing received and processed for financial project close out including contractor final release of liens
  • Schedule training and formal turnover of all equipment with staff
  • Coordinate and manage the testing of all equipment with the appropriate in-house staff
  • Secure and compile all new hardware manuals and warranty information

Other Services

  • Provide supplemental IT services as needed
  • Work with in-house IT team for additional items and needs
